General Terms & Conditions for Participants of the UTPC 2017

Registration fees

All participants must pay the registration fee two weeks after receiving the invoice by email. Non-payment of the participation fees before the start of the conference will result in exclusion from the UTPC 2017. All participants will be informed about the successful receipt of payment by the UTPC Team via email.

Cancellation Policy

Registration cancellations must be notified in writing by email to the UTPC Team (email: Cancellations received 10 working days prior to the beginning of the conference will receive a complete refund of registration fees. Cancellations made after, as well as ‘no shows’, are liable for the full registration fee. Participants must make sure they receive an acknowledgement of their cancellation from the UTPC Team via email. Only this will confirm that their request has been received and processed.


The UTPC Team reserves the right to amend any part of the conference programme if necessary at any time. The UTPC Team will not accept liability for damages of any nature sustained by participants, or loss of, or damage to their personal property as a result of the conference. Participants should make their own arrangements with respect to personal insurance, along with travel insurance.

Personal Insurance

The UTPC Team cannot be held responsible for healthcare, dental and ambulance services during its conferences. It is recommended that participants take out comprehensive medical and travel insurance, which should cover the possibility of flight cancellation due to strikes and other causes. Therefore, the UTPC Team accepts no responsibility of any nature whatsoever for personal injury, death, loss or damage to property or participants however caused or arising.

Privacy Legislation

In registering for the UTPC 2016, relevant details will be incorporated into a participant list for the benefit of all participants. Normally this information would be: name, surname, institution, country and email address. These details may also be available to parties directly related to the conference including the venues and accommodation providers. The UTPC Team may use these details to inform current participants of conference updates or future conferences via email. Participants are responsible for advising the UTPC Team if they do not wish to have their email addresses included in the conference participant list or the distribution list for updates and future events. Moreover, participants are required to submit their curriculum vitae upon registration and in case of excessive demand for the UTPC 2017, participants may be rejected based on their curriculum vitae. Participants’ curriculum vitae may be transferred to sponsors of the UTPC 2017 on a commercial basis, creating beneficial outcomes for all involved parties.
